A real event used as a production example. Here is how you would run an event like this with Murphy OS today.

At the Game of Thrones team building for Movistar, 250 guests, organised over months into clans and houses, spent a full day inside the series at Castell de Sant Gregori in Girona: a parade of banners, knight duels, archery, javelin, castellers, a film set and a themed banquet with a mead toast. Producing that means running a small army. Here are the moving parts and how you would build it today with Murphy OS.

What the event called for

According to the public write-up, the goal was a themed team building blending competition, immersion and entertainment in an epic setting.

ElementWhat it had
Guests250 Movistar guests
VenueCastell de Sant Gregori, Girona
Pre-eventMonths organising guests into clans and houses, with banners
ActivitiesClan parade, knight duels, archery, javelin, castellers
Headline challengeA professional film set where each team recreated a scene
ShowIron Throne, magic, live performances, epic music
FoodThemed banquet, mead toast

The real challenge: every guest in the right house, at the right time, at the right station.

The production pieces behind an event like this

Teams before activities

A team building by houses only works if the split is locked before the day. That means collecting data from every guest (dietary needs, sizes if there are costumes, access needs), assigning a house and telling them. Do it at the door and the first hour disappears.

Simultaneous stations

Duels, archery, javelin and castellers cannot host 250 people at once. You rotate teams through stations with fixed times, one lead per station and a buffer between rotations.

The film set

A set where each team recreates a scene needs a script, costumes, a camera crew and a fixed slot per team. It is always the station that runs long.

Show and banquet

Throne, magician, live music and dinner: each supplier with their rider, load-in and cue. And a banquet for 250 with special meals and allergies that catering needs table by table.

Outdoors at a castle

Outdoor activities mean weather. A plan B decided too late is not a plan B.

How you would run it today with Murphy OS

This is what we would do if a similar brief landed tomorrow. Figures are illustrative.

1. Planner: one budget for houses, stations and show

In Planner you would set up the project for 250 and split per-guest costs (dinner, mead, costumes) from global costs (castle, film set, Throne, magician, music). Duplicate before you cut: initial, adjusted, final. In Setup and agenda you plan day -1 and show day; if the venue emails its load-in times, paste them and the AI turns them into lines.

2. Forms: registration with house, size and diet

With the team building template in Forms you would build a landing page in the event’s look. Useful questions:

  1. Contact and company details.
  2. Size, if there are costumes or cloaks.
  3. Dietary needs and allergies for the banquet.
  4. Preferred activity, with capacity per activity.
  5. Coach, if there is a transfer.

Non-responders get their personal link, and the client follows the numbers live on their tracking link. House captains can carry the VIP star, renamed however you like.

3. Scenes: the banquet by house

In Scenes you upload the banquet hall plan, calibrate it with one known measurement and place banquet tables, stage and the Throne area. Paste the list exported from Forms with group = house, hit Auto-seat and each house sits together. Then export the list by table, the alphabetical index for registration and special meals for catering.

4. Run of show (Escaleta): rotations that do not eat dinner

In the run of show you import the Planner agenda and chain the day: parade, rotation 1, rotation 2, film set, show, dinner. Pin what cannot move (dinner start) and tag teams: stage management, AV, catering, actors. On the day the crew ticks cues from their phones and you see straight away if the film set is eating twenty minutes. The client follows on their link, without internal notes.

5. Meteo: deciding plan B with days to spare

In Meteo you type the castle name and the activity slot. Far out, check 20 years of history for that week; closer in, the model consensus and the traffic light for an outdoor format. If gusts show up, you know early whether archery moves or gets sheltered.

Lessons worth keeping

  • Splitting guests into teams is production, not a detail.
  • Simultaneous stations live or die by the clock. One lead per station, one shared run of show.
  • The headline challenge always runs long. Give it a buffer.
  • Catering needs meals by table, not a headcount.
  • Outdoors, plan B goes in the first budget version, even if you never use it.

What I would check tomorrow with this brief

  1. Is the house split in a column I can paste into seating?
  2. Does every station have a lead, a duration and a buffer?
  3. Does the film set have a fixed slot per team?
  4. Does catering have allergies by table?
  5. Have I checked the weather history for that week at the castle?

Frequently asked questions

How do you split 250 people into teams for a themed team building?

Collect sizes, dietary needs and preferred activity in a registration form and assign every guest to a team before the day. People should know their house before they arrive, not at the door.

What activities were in the Movistar Game of Thrones team building?

A parade of clans, knight duels, archery, javelin, castellers and a film set where each team recreated a scene, plus the Iron Throne, magic, live music and a themed banquet.

How do you seat a themed dinner by team?

Keep each team together. In Scenes you paste the list with a group column and Auto-seat places everyone, keeping each house at its tables.

What is the main risk of an outdoor team building at a castle?

Weather. Outdoor activities need a plan B decided days ahead, not on the morning.
